Position Overview
Join our team as a Care Coordinator who contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital. Within the veterinary field, this position aligns closely with roles often titled Veterinary Receptionist, Customer Service Representative, or Client Care Specialist.
The Care Coordinator supports and strengthens an efficient organization dedicated to quality care and exceptional service. You will perform a variety of clerical and customer service work to support the hospital and clients during often high-stress situations.
At Cortaro Farms Pet Hospital in Tucson, Arizona are committed to providing high-quality, compassionate care with a focus on excellent customer service and efficient appointment scheduling. Our collaborative and caring team of experienced professionals is dedicated to delivering personalized healthcare for pets within a supportive, tight-knit community. Serving the Tucson and Marana area since 1997.
Key Responsibilities
- Coordinate the flow of pets and owners in the lobby; alleviate owners' distress caused by long waits, scheduling glitches, and other issues.
- Perform cashiering duties, including processing refunds, returns, and credits as needed.
- Respond to inquiries about the range of services the practice provides and the species it treats, referring to the appropriate department or staff member as needed.
- Input data to practice management software (Avimark) to check pets in, make simple account postings, and compile data for various reports.
- Coordinate and schedule appointments, providing clients with appointment reminders and special instructions, and call clients whose pets have overdue treatments.
- Respond to client emails, type and edit various correspondence, and process incoming and outgoing faxes.
- Knowledge of basic veterinary medicine terminology.
- Familiar with retail products, medications, vaccinations, routine testing, and heartworm and flea preventatives, and can confidently discuss with clients.
- Utilize Windows-based computer systems, email, web search, and other essential skills to use software effectively.
Qualifications (Required)
- Applicants must be 18 years of age or older to be considered for this position
- High school diploma or GED required, or equivalent combination of education, certification, training, and/or experience
- 1 year of experience in a veterinary clinic.
- Knowledge of clerical procedures such as alphabetizing files and records.
- Must be flexible with scheduling and able to work every other Saturday.
- Tasks may involve extended periods at a keyboard or workstation and/or standing and walking.
- Some moderately physically demanding work, involving lifting or carrying up to 50 pounds.
Preferred Skills (Nice to Have)
- Knowledge in Avimark.
Schedule:
- Three workdays (full shifts) and every other Saturday (1/2 shift)
- Schedules are mostly consistent but could vary based on the hospital's needs
