Position Overview

Join our team as a Care Coordinator! This position is ideal for someone who is highly organized, patient, professional, compassionate, and comfortable coordinating multiple moving pieces in a busy specialty veterinary environment. The Cardiology Care Coordinator will play a key role in keeping the cardiology schedule running smoothly while providing exceptional communication and service to both referring veterinarians and pet owners.

Key Responsibilities

  • Serve as a primary point of contact for referral hospitals and referring veterinarians regarding cardiology appointments, referrals, records, and scheduling.
  • Coordinate and manage the cardiology appointment schedule, ensuring efficient use of the cardiologist's time and appropriate appointment flow.
  • Communicate with referring hospitals regarding appointment availability, patient information, medical records, and referral requirements.
  • Answer incoming calls, emails, and client inquiries related to cardiology services.
  • Provide clear, compassionate communication to cardiology clients and pet owners, answering questions about appointments, preparation, expectations, and next steps.
  • Help clients understand the cardiology process while recognizing when questions or concerns should be directed to the cardiologist or medical team.
  • Coordinate appointment changes, cancellations, rescheduling, and follow-up visits.
  • Ensure necessary medical records, imaging, laboratory results, and referral information are available prior to appointments.
  • Maintain accurate and timely documentation within the hospital's practice management system.
  • Communicate effectively with cardiology technicians, doctors, client service representatives, and other hospital departments.
  • Help identify scheduling conflicts and proactively resolve issues to maintain an efficient cardiology workflow.
  • Provide a welcoming, professional, and compassionate experience for clients and referring veterinary teams.

What We're Looking For

  • Applicants must be 18 years of age or older to be considered for this position.
  • Excellent customer service and communication skills.
  • Strong organizational and time-management abilities.
  • Comfortable speaking professionally with veterinary referral hospitals and veterinary teams.
  • Ability to manage a busy, frequently changing schedule with attention to detail.
  • Compassionate and confident communication with pet owners who may be dealing with stressful or emotional situations.
  • Comfortable communicating by phone, email, and in person.
  • A strong interest in providing exceptional patient and client care.

Preferred Skills (Nice to Have)

  • Previous experience in veterinary medicine, specialty/ER veterinary medicine, cardiology, or medical scheduling is strongly preferred.
  • Veterinary technician, veterinary assistant, veterinary receptionist, or specialty hospital experience is a plus.

Schedule: Full-Time, Tuesday through Friday (day shift)

Pay Range

$16—$18 USD
