Position Overview

Join our team as a Care Coordinator who contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital. Within the veterinary field, this position aligns closely with roles often titled Veterinary Receptionist, Customer Service Representative, or Client Care Specialist.

 

Highland Animal Hospital in Augusta, Georgia, is a full-service veterinary clinic providing comprehensive care, from preventive services to advanced medical treatment. As a Care Coordinator, you’ll greet clients, schedule appointments, answer calls, and coordinate communication with our veterinary team. It’s a rewarding role for someone who enjoys helping others and takes pride in making people feel welcome and supported.

Key Responsibilities

  • Provides excellent customer service in-person, over the phone, and during high-stress situations.
  • Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
  • Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
  • Assists with medication pickups, inquiries, and provides information about services and products.
  • Inputs and manages data in practice management software, including billing and accounts.
  • Assists with retail sales, weighing pets, processing faxes, and maintaining records.
  • Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Qualifications (Required)

  • Applicants must be 18 years of age or older to be considered for this position
  • At least 1 year of experience in a veterinary hospital, animal care setting, or healthcare customer service role; veterinary experience strongly preferred.
  • Experience scheduling appointments, answering phones, and coordinating communication between clients and the medical team.
  • Strong customer service skills, including handling concerns with empathy, professionalism, and patience.
  • Experience maintaining accurate records, processing payments, and reviewing invoices for completeness.
  • Ability to explain veterinarian-provided care instructions, estimates, and follow-up recommendations clearly to clients.
  • Strong organization and attention to detail, with the ability to prioritize responsibilities in a busy hospital.
  • Comfort working around animals and supporting clients during stressful or emotional situations.

Preferred Skills (Nice to Have)

  • 1–2 years of experience in a veterinary hospital, ideally in client service, reception, or care coordination.
  • Familiarity with IDEXX Cornerstone for scheduling, client records, invoicing, and payment processing.
  • Experience coordinating appointments, patient drop-offs, discharges, and follow-up communication.
  • Knowledge of veterinary terminology, preventive care, and common hospital services.
  • Experience coordinating prescription requests and communicating veterinarian-approved instructions.
  • Ability to explain treatment estimates and payment options with clarity and compassion.
  • Experience managing multiple phone lines and communicating with clients by phone, text, and email.
  • Experience supporting clients during difficult situations, including emergencies and end-of-life care.
  • These qualifications are preferred, but we are willing to train a candidate with strong customer service skills and a passion for helping pets and their families. We welcome candidates with strong healthcare or customer service experience who are eager to learn veterinary care coordination.

Schedule

  • Part-Time, must be available to work Thursdays, Fridays, and rotating Saturdays
  • Additional weekday shifts may vary based on hospital needs and staff availability.
