Position Overview

Join our team as a Care Coordinator who contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital. Within the veterinary field, this position aligns closely with roles often titled Veterinary Receptionist, Customer Service Representative, or Client Care Specialist.

Columbia Equine Hospital in Gresham, Oregon, is a busy Equine-specific veterinary practice that offers both ambulatory and outpatient appointments, as well as full hospitalization and referral surgery. Key Responsibilities

  • Provides excellent customer service in-person, over the phone, and during high-stress situations.
  • Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.
  • Handles basic medical emergencies for pets and owners, ensuring safety and well-being.
  • Assists with medication pickups, inquiries, and provides information about services and products.
  • Inputs and manages data in practice management software, including billing and accounts.
  • Assists with retail sales, weighing pets, processing faxes, and maintaining records.
  • Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.

Qualifications (Required)

  • Applicants must be 18 years of age or older to be considered for this position
  • Must possess the knowledge and critical thinking skills required to determine equine emergencies vs standard appointment requests, and the ability to relay pertinent details and information to DVMs accurately and efficiently
  • At least 2 years of experience working in an administrative or clerical capacity
  • The ability to multi-task effectively, prioritize work appropriately, and maintain excellent customer service and communication skills in a fast-paced environment
  • Strong attention to detail and organization skills
  • Strong written and verbal communication skills
  • Computer skills: competency with Microsoft Office suite
  • Dependability; full-time presence at work is essential for every shift
  • Flexibility
  • Team player

Preferred Skills (Nice to Have)

  • Experience with and knowledge of horses
  • Experience with veterinary PIMS systems
  • Experience working in an administrative capacity in the veterinary industry

Schedule: Looking for a full-time candidate to work 38-40 hours per week; 4 days per week on Tuesdays through Fridays, 7:30 am to 5:30 pm with a 30-minute lunch. Overtime as needed.

Pay Range
$18$21 USD
