Position Overview
Manor Equine Hospital is seeking a friendly, organized, and horse-savvy Care Coordinator to join our team. This position serves as the first point of contact for horse owners, trainers, referring veterinarians, and visitors, helping ensure an exceptional client experience while supporting the daily operations of our busy equine referral and ambulatory practice.
Manor Equine Hospital in Monkton, Maryland, is a premier equine referral and surgical center serving Maryland, Pennsylvania, Delaware, and northern Virginia. Our practice provides advanced surgical, medical and diagnostic services, as well as ambulatory services for horse owners in Baltimore and Harford counties in Maryland, as well as York County, Pennsylvania.

The Care Coordinator plays a critical role in clients’ experiences and the smooth functioning of the hospital. The Care Coordinator is responsible for greeting and directing hospital visitors, answering all incoming phone calls and relaying messages accurately, maintaining client and patient records and files, and handling payments and invoices according to established policies and procedures. The Care Coordinator also provides clerical and administrative support for DVMs and hospital staff.
Essential Job Functions and Responsibilities:
- Provide high-quality customer service
- Maintain a professional appearance (clothes and attitude) and a clean workspace
- Answer phone calls and take detailed messages; recognize the characteristics of a medical emergency verses a standard appointment request, and relay messages to DVMs accordingly
- Schedule appointments and surgeries at DVM’s direction and communicate with clients about scheduling
- Identify and work compassionately with clients in various emotional states
- Maintain complete and accurate client and patient records
- Process payments and invoices
- Type documents and discharges as directed
- Monitor hospital inbox and direct messages to the appropriate staff member or file according to hospital procedures
- Receive and distribute incoming mail, prepare shipments for FedEx and UPS
- Light cleaning
- Other duties as assigned
Qualification and Competencies:
- Applicants must be 18 years of age or older to be considered for this position
- Possess a high school diploma or GED
- Experience with horses: must possess the knowledge and critical thinking skills required to determine equine emergencies vs standard appointment requests, and the ability to relay pertinent details and information to DVMs accurately and efficiently
- At least one year of experience working in an administrative or clerical capacity
- The ability to multi-task effectively, prioritize work appropriately, and maintain excellent customer service and communication skills in a fast-paced environment
- Strong attention to detail and organization skills
- Strong written and verbal communication skills
- Computer skills: competency with Microsoft Office suite, experience with veterinary PIMS systems a plus
- Dependability; full-time presence at work is essential for every shift

Schedule:
- Monday – Friday, 7:45 am to 4 pm
- Overtime as needed
- All time off to be preapproved by supervisor
