Position Overview

The Veterinary Care Coordinator supports and adds value to our clients and patients. They are dedicated to quality patient care and exceptional client service. This position performs a variety of administrative, client service, and communication duties while supporting the veterinary team, patients, and clients throughout their visit.

As a Care Coordinator, you are often the first point of contact for our clients, whether by phone, email, text message, or in person. You will play a critical role in creating a welcoming and positive experience, coordinating appointments, facilitating communication, and helping clients navigate their pet's healthcare needs. Success in this role requires compassion, professionalism, strong communication skills, high attention to detail, and the ability to remain calm and organized in a fast-paced environment.

Key Responsibilities

  • Welcome clients and patients with professionalism, warmth, and compassion.
  • Coordinate patient flow and assist with client check-in and check-out.
  • Answer incoming phone calls and identify potential emergencies, scheduling appointments appropriately and providing clients with reminders and visit instructions.
  • Process invoices, payments, and other financial transactions.
  • Help clients inquiries with services, products, medications, vaccines, and preventive care.
  • Enter accurate medical and communication notes into the practice management system.
  • Respond to client emails, text messages, and other forms of communication.
  • Support the veterinary team by ensuring clear communication and a seamless client experience.
  • Maintain an organized, welcoming, and professional reception area.

Qualifications (Required)

  • High school diploma, GED, or equivalent combination of education and experience.
  • Minimum 5 years of customer service experience required.
  • Veterinary, medical, or healthcare experience preferred but not required.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Comfortable working with computers and learning new software systems.
  • Detail-oriented with strong follow-through.
  • Positive attitude and commitment to teamwork.
  • Flexible scheduling availability.

Physical Requirements

  • Ability to work at a computer workstation for extended periods.
  • Ability to lift and carry up to 40 pounds

Preferred Skills (Nice to Have)

  • Veterinary Receptionist Experience - 3 years minimum

Schedule

  • Monday from 8AM-5PM, Wednesday from 8AM-3PM, Thursday from 8AM-8PM, and Saturday from 9AM-1PM
  • Schedule is subject to change depending on hospital needs

Pay Range
$17$21 USD
