PetVet Care Centers' Bluegrass Equine Surgery is currently seeking an Administrative Assistant and Inventory Specialist to join their team!

Title: Administrative Assistant and Inventory Specialist
Reports to: Hospital Manager
Hourly: $17.00-$20.00 an hour
Hours Per Week: 40 hours, Monday-Friday
Status: W2 Employee - Full Time
Standard Schedule: Monday – Friday 8 AM – 4 PM
PetVet Paid Time Off: 6 Holidays annually plus 80 hours of PTO after 90 days; 120 hours after 5 years.

Responsibilities:
The Administrative Assistant and Inventory Specialist supports and adds value to clinic administration and inventory. You will perform a variety of administrative and supportive tasks and work to provide efficiency and organization for BES.
- Oversee Bluegrass Equine Surgeries Inventory system, including but not limited to:
- Placing all medical supply orders requested by Doctors and technicians via VetCove and other vendors
- Checking back orders daily, ordering when supply available
- Track and receive all inventory both physically on the campus and place in Practice Management Software EzyVet
- Unpack all boxes when they are delivered and put away items in dispensary
- Maintain organization within the dispensary
- Help develop inventory system within EzyVet, adding codes for products, finding efficient methods of usage
- Fulfilling order requests for doctors and technicians, creating proper and accurate invoices for doctors and technicians
- Maintaining an accurate count on inventory
- Research best pricing available
- Conduct cost updates bi-annually in EzyVet
- Quarterly inventory audits
- Support as backup to building management & maintenance including but not limited to:
- Maintain schedule for hospital maintenance
- Communicate facility needs and wants to Hospital Manager
- Work with Hospital Manager to plan special projects and distribute work appropriately
- Help support BES vehicle fleet maintenance and repairs.
- Organize and keep records of medical equipment
- Assist Hospital Manager and Billing Manager with various tasks assigned.
- Setting up new IT hardware (Computers, laptops, tablets)
- IT onboarding of new hires
- organize all on sight IT Equipment- work closely with IT service company Tek Desk for any IT troubleshoot issues
- File Maker maintenance and development for the hospital
Qualifications:
- High School Diploma or equivalent
- Veterinary environment, terminology, and protocols
- Working in a team environment
- Customer Service
- Handling multiple tasks and priorities
- Organization skills
- Attention to detail
- Verbal and written communication skills with good interpersonal skills
- Basic math skills
- Familiarity with EzyVet, FileMaker, and Microsoft programs strongly preferred
