Position Overview
The Facility Manager is accountable for the operational performance, safety, and cost efficiency of a regional portfolio of veterinary hospitals. This role ensures facilities are reliable, compliant, and fit for purpose, enabling clinical teams to focus on patient care while protecting company assets and controlling operating expenses.
Acting as the day-to-day facilities lead for the region, the Facility Manager partners closely with Hospital Managers, Regional Leadership, and the Corporate Facilities team to plan, prioritize, and execute maintenance, repair, and improvement activities across multiple locations. The role oversees preventative maintenance, reactive repairs, landlord coordination, and select capital and refresh projects, with an emphasis on minimizing downtime, standardizing solutions, and delivering measurable cost savings across facility spend.
The Facility Manager is expected to actively manage vendors and service partners, including sourcing, scoping, negotiating pricing, and holding contractors accountable for quality, safety, and timelines. A strong understanding of basic MEP systems—HVAC, electrical, plumbing, roofing, and life-safety systems—is required to accurately diagnose issues, validate repair recommendations, challenge unnecessary scope, and ensure cost-effective solutions. This role does not require deep engineering expertise, but does require sound technical judgment and the confidence to manage technical trades.
Experience supporting medical office, clinical, or hospital treatment environments is a strong plus. The Facility Manager understands the operational sensitivities of veterinary hospitals, including treatment space functionality, infection control considerations, equipment uptime, and the need to perform work with minimal disruption to clinical operations.
The role contributes directly to OPEX reduction initiatives through vendor consolidation, pricing discipline, preventative maintenance optimization, and repeatable repair standards.
Success in this role requires strong ownership, disciplined follow-through, and the ability to manage multiple sites in parallel within a fast-moving, growth-oriented organization. The Facility Manager plays a critical role in delivering safe, consistent, and cost-effective hospital environments that support clinical excellence and scalable operations.
Key Responsibilities
- Own day-to-day facility operations for a regional portfolio of veterinary hospitals, ensuring buildings, systems, and treatment spaces remain safe, functional, and compliant at all times.
- Plan, prioritize, and manage preventative maintenance and reactive repair activities across all assigned locations, with a focus on minimizing downtime and disruption to clinical operations.
- Serve as the primary facilities point of contact for Hospital Managers and Regional Leadership, translating operational and clinical needs into clear, actionable facility solutions.
- Manage all third-party service providers, including sourcing, scoping, bid comparison, price negotiation, and performance oversight; hold vendors accountable for quality, safety, timelines, and cost.
- Drive cost savings across facility spend through vendor consolidation, standardized repair approaches, preventative maintenance optimization, and disciplined scope control.
- Apply working knowledge of core MEP systems (HVAC, electrical, plumbing, roofing, and life-safety) to diagnose issues, validate contractor recommendations, and ensure repairs are appropriate, durable, and cost-effective.
- Coordinate landlord repairs and obligations where applicable, ensuring timely response and enforcement of lease responsibilities.
- Support minor capital, refresh, and improvement projects from scoping through close-out, including contractor coordination, schedule management, and on-site execution as required.
- Conduct regular site assessments to identify deferred maintenance, life-safety risks, and operational inefficiencies; develop prioritized work plans and support regional budgeting and forecasting efforts.
- Ensure facilities comply with applicable health, safety, and regulatory standards, including those specific to veterinary and clinical treatment environments.
- Maintain accurate documentation and reporting related to work orders, vendor performance, spend tracking, and facility condition, supporting visibility and decision-making at the regional and corporate level.
- Partner with the Corporate Facilities team to implement standard processes, tools, and best practices across the portfolio, supporting scalability and continuous improvement.
- Assist in developing and maintaining annual facility maintenance budgets.
- Monitor expenditures, verify vendor invoices, and ensure billing accuracy.
- Identify cost-saving opportunities through vendor consolidation, preventive maintenance, and operational efficiency.
