Position Overview
The Benefits Specialist/Admin supports PetVet’s Benefits initiatives and benefits related topics and questions. While this role is primarily focused on Benefits Administration, it does require some general office duties, representing approximately 5% of time. This role collaborates with our Benefits vendors to ensure interfacing data is timely and accurate and works to research and resolve benefit-related issues. This role also performs some office/facilities support within the corporate headquarters.
Key Responsibilities
Health & Welfare Benefits
- Own the Benefits email box; ensures all inquiries are acknowledged daily and resolved in an appropriate amount of time. Keeps employees and/or management apprised of status of inquiry/resolution. Identifies and reports any key or systemic issues identified; collaborates on resolution plan
- Support the Benefits and Payroll teams on research required to understand, resolve and communicate about any Benefits inquiry
- Administer medical, dental, vision, disability, life insurance, etc.
- Handle invoice reconciliation and eligibility management
- Ensure any State required benefits reporting is provided timely and accurately
- Partner closely with Empyrean to ensure employee experience is smooth, data within the system is accurate, and any issues are resolved quickly
- Troubleshoot, provide training and support to employees for any Benefits related technical issue
- Monitor Qualifying Life Events for review and documentation approval
- Review and complete National Medical Support Notifications
- Assist in the planning, preparation and testing of Open Enrollment
- Support Open Enrollment setup and employee assistance
- Work with Key Partners to ensure data interfaces from Dayforce are working properly; review and audit interfaced data to ensure manual updates required or additions/deletions are made
- Build and maintain relationships within Benefits team as well as cross-functionally
- Ensure employee deductions that require funding with Key Partners is reviewed, validated and funded on time.
- Address and resolve any funding inquiries that arise to minimize any financial risk or exposure
- Manage bi-weekly billing of team members’ Benefits deductions not taken while on leave
Retirement & 401(k) Administration
- Responsible for reconciliation of 401(k) contributions and Deferred Compensation funding
- Manage 401(k) distribution requests through Empower Plan Sponsor site
Office Duties
- Front Desk: Greet visitors at Front Desk, ensuring visitor’s log and access badge are accurate and secure
- Supplies: Maintain supplies, including ordering supplies and restocking kitchens; manage Amazon, Staples and WB Mason ordering
- Mail: Open, sort, and route mail and inbound packages to appropriate teams, maintain postage meter, transport mail to post office when necessary
- Any and all other duties as assigned
Physical Requirements
- This role sits at the first workstation by the front door
- Ability to sit, stand, and walk for extended periods
- Occasional lifting of office supplies, boxes, or equipment (up to 25 lbs)
- Frequent use of hands and fingers for typing, filing, and handling documents
- Ability to reach, bend, and kneel occasionally
- Visual acuity to read computer screens and printed materials
- Ability to move around the office and arrange meeting spaces
Qualifications (Required)
- 1+ years of related experience in Benefit administration
- Customer service focused, maintains a professional demeanor
- Strong communication skills and positive attitude
- Excellent organizational abilities and multitasking skills
- Attention to detail and results focused
- Ability to handle sensitive and confidential information with discretion
- Results focused; roll up your sleeves attitude; strong team player
- Excited to build, develop and implement; can work in grey space
- Proficiency in HRIS and Dayforce experience a plus
- Bachelor’s degree in Human Resources, Business, Finance, or related field a plus
