Position Overview:
PetVet Care Centers (PVCC) owns and operates over 400 veterinary hospitals across the United States. Each hospital employs a Hospital Manager responsible for the daily recording of hospital transactions in their Practice Management System (PMS). Across all of PVCC’s hospitals, there are about 10 different PMS, and each hospital maintains their own AR subledger in that PMS. Reporting is gathered on a monthly basis and sent to PVCC HQ, where AR information is posted to PVCC’s General Ledger at the hospital level. Collections and general admin of the hospital subledgers are managed by the Hospital Manager at each location.
Job Responsibilities:
- Manage the monthly gathering and posting of Accounts Receivable activity at each hospital to PVCC’s general ledger
- Review hospital subledgers for reasonableness and identify items such as 90+ day old balances, large credit balances, significant write-offs, and other unique items. Communicate with Hospital Managers to determine validity of such items and provide guidance and support on collecting increasingly delinquent accounts or sending to Collections.
- Prepare monthly, quarterly, and ad-hoc reporting and Analysis on aged receivable balances
- Oversee Collection company and hospital collection activity. Review hospital aging report 90+ day balances and compare with amounts submitted to Collections, investigating discrepancies as needed.
- Review hospital Write Off Request forms to ensure requests are legitimate, asking questions to Hospital Managers when necessary. Prepare reporting on Write-Offs for management to identify source of write-offs and share insight with Operations team.
- Provide A/R training for new Hospital Managers
- Reconcile Accounts Receivable General Ledger balance to the Subledger each month and investigate differences and find resolutions by working closely with Hospital Managers
- Prepare analysis to support the company’s Allowance for Doubtful Accounts.
Ideal Candidate Qualities:
- Must have at least 2-3 years of A/R experience
- Self-starter, motivated individual that thrives in fast-paced environment
- Demonstrate strong adaptability in working with multiple data systems
- Support continuous improvement and actively identify opportunities for streamlining and increased efficiency throughout all areas
- Strong problem solving and communication skills and intermediate Excel skills
- Microsoft D365 experience a plus
- Bachelor’s degree in Accounting or related field
